HubSpot

The HubSpot app brings your CRM into the conversation. Once an admin connects your HubSpot account:

  • Alerts post new deals, deals moving stage, deals won and lost, and new contacts into the channels you pick.
  • Link previews show a deal’s, contact’s or company’s details under any HubSpot link someone posts.
  • /hubspot finds a contact or deal without leaving the conversation.
  • Log to HubSpot adds any message to a contact’s timeline as a note, with a link back to it.

HubSpot posts as its own member, HubSpot, so its cards are easy to tell apart from people.

Only owners and admins can connect it.

  1. Open Workspace settings → Integrations & apps → Integrations → CRM and click Connect HubSpot.
  2. HubSpot asks you to sign in, pick the account to connect and allow Freesbe. Click Connect app.
  3. You’re back in Freesbe with Connected next to HubSpot, and the account’s domain.

You can also start from HubSpot: install Freesbe from the HubSpot App Marketplace, allow it, and Freesbe asks you to sign in and pick which of your workspaces to connect.

A workspace connects one HubSpot account. Freesbe asks HubSpot to read contacts, companies and deals (and deal owners’ names), and to add notes to contacts. It can’t change or delete anything else in HubSpot.

Under HubSpot alerts, click Add alert, then pick:

  • Post to channel. Any channel, public or private. Alerts in a private channel are only visible to admins who are in it.
  • Alerts to post:
    • New deals, as soon as one is created.
    • Deals moving stage, for example from Appointment scheduled to Contract sent.
    • Deals won and Deals lost, when a deal moves to a closed won or closed lost stage.
    • New contacts.
  • Smallest deal to post. Deals worth less are left out. New contacts always post.

Add more alerts to send different things to different channels: big deals to #leadership, new contacts to #sales. Each card shows the deal’s amount, stage, close date and owner (or the contact’s email, company, job title and lifecycle stage) and an Open in HubSpot button.

From an alert’s ⋯ menu:

  • Send a test alert posts a sample card, marked Sample alert, so you can see where alerts land.
  • Edit changes the channel, the kinds of alerts or the smallest deal.
  • Turn off pauses it, and Delete removes it.

Last alert under each one says when it last posted.

When someone posts a link to a contact, company or deal in your connected HubSpot account, Freesbe adds a preview under the message: the record’s name, and its amount, stage, close date and owner for a deal, or its email, company and job title for a contact. Up to three links in a message get a preview.

Everyone in the conversation sees the preview, including guests, so turn Show a preview under HubSpot links off under HubSpot link previews in Integrations → CRM if your CRM details shouldn’t be shared that way. Links to other HubSpot accounts are left alone.

Type /hubspot and a name, an email address or a deal name in any conversation, for example /hubspot Contoso. The answer is only visible to you: matching contacts and deals, each a link that opens it in HubSpot.

The answer to /hubspot Contoso, only visible to Maya: two Contoso contacts and the Contoso deal

Hover over any message, click ⋯ and choose Log to HubSpot.

A message’s More actions menu with Log to HubSpot under the HubSpot app

  1. Type the contact’s email address or name. When the message is from a guest, their email address is already filled in.
  2. Change the Note if you like. It starts as the message’s text.
  3. Click Log note. When more than one contact matches, pick the right one and click Log note again.

Log to HubSpot: the contact’s email address and the note

The note goes on the contact’s timeline in HubSpot with who wrote it, the channel and a link back to the message in Freesbe. You get a confirmation only you can see, with an Open contact button.

In Integrations → CRM, click Disconnect. Alerts and previews stop, and /hubspot and Log to HubSpot go away. Your alerts are kept, so connecting again picks up where you left off. To remove Freesbe from HubSpot too, open Settings → Integrations → Connected apps in HubSpot and uninstall it.

If someone uninstalls Freesbe in HubSpot first, the HubSpot app shows Needs reconnecting: click Reconnect to bring it back.

  • Every alert HubSpot sends is checked against its signature, and old or replayed ones are refused. Each is posted once, even when HubSpot sends it twice.
  • Freesbe keeps HubSpot’s access encrypted and only asks HubSpot for what it shows. It doesn’t copy your CRM: alerts and previews are made from the record when they’re posted.
  • Disconnecting deletes Freesbe’s access straight away.
